Position Overview:
The Tour & Stage Manager oversees all logistical, technical, and operational aspects of touring productions. This position ensures seamless travel, venue load-ins, show execution, and load-outs while maintaining clear communication between cast, crew, and venue staff. The Tour & Stage Manager represents the tour in all capacities while on the road—ensuring both artistic excellence and operational precision from city to city, and across borders.
Key Responsibilities:
Travel & Logistics
‣ Coordinate and execute load-in and load-out of wardrobe, props, merchandise, and cast/crew luggage for multiple vehicles.
‣ Drive and navigate 2–3 vehicle caravans between tour cities, managing group communications for bathroom, gas, and maintenance stops.
‣ Maintain tour timing and communication using standard stage management calls (“15 minutes,” “10 minutes,” etc.) for stretch, meal, and rest breaks.
‣ Conduct headcounts before departure from every stop to ensure all personnel are accounted for.
‣ Coordinate hotel check-ins, distribute room keys, and communicate next-day call times.
‣ Represent the tour during international travel, ensuring all cast and crew have proper documentation and immigration paperwork (prepared by production) when crossing borders.
Venue Coordination
‣ Serve as the primary point of contact with venue technical and front-of-house teams.
‣ Introduce and coordinate the touring lighting technician with the venue’s lighting operator.
‣ Locate and prepare dressing rooms, green rooms, and hospitality spaces; ensure they meet production standards.
‣ Identify laundry and steaming facilities for wardrobe maintenance.
‣ Oversee setup of merchandise and prop areas, ensuring efficient traffic flow and visual presentation.
‣ Confirm catering arrangements and ensure meals are ready for the scheduled cast dinner break.
Technical & Show Operations
‣ Oversee audio and lighting setup, ensuring proper mic preparation, labeling, and color coordination.
‣ Conduct sound checks and cue-to-cue rehearsals with lighting and sound teams.
‣ Ensure wardrobe racks, hangers, and quick-change areas are properly set on both wings with adequate lighting.
‣ Monitor show readiness, calling standard theatre cues including:
“Call lobby open,” “Call house open,” “15 minutes,” “5 minutes,” and “Places.”
‣ Maintain communication with the sound tech during showtime for music and mic adjustments.
‣ Provide intermission calls to lobby and merchandise staff.
‣ Check in with cast during intermission for feedback and notes.
Audience Engagement & Post-Show
‣ Coordinate VIP meet-and-greet experiences, assisting with photo lines and maintaining time flow.
‣ Supervise post-show strike and load-out, ensuring all equipment, luggage, and materials are accounted for and secured.
Skills & Qualifications:
‣ Strong organizational and multitasking skills under time-sensitive conditions.
‣ Excellent interpersonal and communication abilities with cast, crew, and venue staff.
‣ Proficient in tour logistics, travel routing, and basic technical theatre operations (sound, lighting, wardrobe).
‣ Ability to work collaboratively while leading a traveling company.
‣ Valid driver’s license and ability to travel extensively, including internationally.
‣ Stage management or tour management experience preferred.
Working Conditions:
‣ Requires extended travel and irregular hours, including evenings, weekends, and holidays.
‣ Involves moderate lifting and coordination of heavy equipment during load-ins and load-outs.
‣ Must maintain a professional demeanor while representing the production and its brand both domestically and abroad.
